A smart cloud platform for business processes at L&B

Initial situation

L&B GmbH is a specialized service provider for professional assembly services in the northern, eastern, and southeastern regions of Germany and a supplier to Deutsche Bahn AG.

With an increasing number of projects and a growing team, it became clear that existing processes had reached their limits.

Particularly challenging were:

• site and deployment organization

• the exchange of documents

• lack of transparency about order statuses

• time-consuming manual processes

Objective

The goal was to build a central, cloud-based platform that:

• maps operational processes in a structured way

• creates transparency across all orders

• connects employees, planning, and documentation

• seamlessly integrates existing systems

Instead of a standard solution, L&B deliberately chose a custom development aligned with real workflows.

Project progress & collaboration

The project started in June 2024 with intensive onboarding and a joint process analysis.

By the end of 2024 the core functions went live.

Since then the platform has been continuously developed further, always closely coordinated with L&B's project team.

The collaboration was deliberately designed as a long-term partnership, and the software grows alongside the company's requirements.

The solution: A central platform for planning, execution and communication

Together with L&B, a cloud-based software solution was developed that consolidates all operational processes in a central platform. From assignment and order planning to working time, documentation and billing, through to communication, knowledge management and support. All functions work seamlessly together and are closely connected to existing systems. This creates a digital backbone that simplifies everyday work and grows with the company.

Technical solution & system integration

A key requirement of the project was integration with existing systems and close collaboration with current service providers. The goal was to continue using established structures. The focus here was particularly on the interface to the existing order management system and on file exchange based on SharePoint.

Orders continue to be created in a separate order management system. A data record is generated there that is directly linked to the app developed by Benjamin Böhm. On this basis, orders can be created, edited and fully documented within the application.

For document exchange, the solution consistently relies on SharePoint and thus on already established workflows within the company. Through the Microsoft-365-API, key functions such as email communication, user management and file structures are also connected.

Additionally, an interface to the accounting system (DATEV) was integrated. This keeps all relevant systems connected, processes seamless and media breaks consistently avoided.

Deployment, Order & Workflow Management

The platform creates clear structures in day-to-day operations:

• Overview of all orders

• Clear workflow: which step is handled by whom

• Flexible rescheduling of assignments

• Map integration for orders

For employee and resource planning, the solution offers:

The project demonstrates how tailored software, combined with close collaboration and continuous development, creates sustainable added value — especially in complex, operational environments like professional assembly.
